Report and step numbers
The Report shows how an automation performs over time: how many contacts entered, how many are in it now, how many reached the end, how many left early, and how many stopped because of an error. When the flow sends email, it also shows delivery, opens, clicks, and unsubscribes. The step numbers on the canvas show where contacts are and which path they took.
Anyone who can view automations can open the report and the step numbers; edit permission is not required.
Open the report
Section titled “Open the report”There are two ways:
- in the automations list, open the card’s ⋮ menu and choose Report;
- inside the automation, choose Report in the left rail.
The header shows the name, the state (Active or Disabled), the automation number (#N), and the dates it was created and updated.
Filters
Section titled “Filters”- Period — Last 7 days, Last 30 days (default), Last 90 days, or All time. The period counts back from now.
- Email — appears when the automation has a Send email step. Choose All emails or a specific step, identified by its subject. A step without a subject appears as Email without subject with its position in the flow.
- Clear filters — returns to Last 30 days and All emails, without changing the open tab.
Period, email, and tab are kept in the page address: reloading or sharing the link opens the same view.
What counts and what does not
Section titled “What counts and what does not”- Runs that started in the chosen period count.
- Tests don’t count. Runs created with the Test button are left out of every number.
- With the Audience, No reply on conversation, and Schedule triggers, SquadOS creates one run that only distributes the work and one run per contact, conversation, or time slot. Only the runs that walk through the flow count.
- Emails count by the date they were created, not the date the run started. A Wait step before the send can place the email in a different period than the entry.
- The Send campaign step is not included in the automation’s email metrics.
Overview
Section titled “Overview”Automation performance
Section titled “Automation performance”| Indicator | What it shows |
|---|---|
| Started | Contacts who entered the automation in the period. |
| Active now | Who is in the automation right now, whenever they entered. |
| Finished | Runs started in the period that reached the end. |
| Left before the end | Runs that stopped before the last step: for example, the contact replied, the conversation was resolved, or they left the list. |
| Failed | Runs that stopped because of an error. |
Percentages are calculated over Started. In Active now, the in progress rate considers only runs started in the period that are still open. With no entries in the period, percentages are not shown.
When an indicator has a value, the View button opens Activity already filtered by the matching status: In progress, Finished, Left before the end, or Failed. For Started, it opens Activity without a filter. Activity does not apply the period and also lists tests, so it can show more rows than the report number. See Runs and tests.
Email performance
Section titled “Email performance”Appears when the automation sends email. It shows Delivered, Opens, Clicks, and Unsubscribed, each with its rate. Opens and Clicks count people: who opened or clicked at least once, over who received it.
If the automation has no Send email step and sent no email in the period, the Deliverability and Opens tabs show This automation doesn’t send email.
Deliverability
Section titled “Deliverability”- Deliverability details — Sent to, Delivered, Soft bounces (full mailbox or server down; the address is still valid), and Hard bounces (the address does not exist and stops receiving from this organization).
- Why they bounced — the bounce reasons, with each one’s share of the emails sent.
- By email domain — the 20 domains with the most sends in the period, with sent, delivered, and bounced. Sends to contacts that were deleted are grouped as Deleted contacts.
- Opens details — Opens (people), Total opens (counting people who opened more than once), and Automated opens, recorded by privacy protections and antivirus software, not by people.
- By email domain — the 20 domains with the most sends in the period, with delivered and how many opened.
Step numbers on the canvas
Section titled “Step numbers on the canvas”When you open the automation in View mode, each step of the published version shows a strip of numbers on its card. The numbers appear only after the automation has a saved version.
| Step | What the strip shows |
|---|---|
| Trigger | how many started through it |
| Other steps | how many reached the step and, when someone is there, how many are here now |
| Send email | also how many emails were sent and, once something was delivered, the percentage that opened and clicked |
| Send campaign | how many times the step ran |
On the connections leaving a step with several paths, such as Condition or Analyze with AI with outputs, a badge shows how many took that path.
Use the period selector above the canvas to change the range; the options are the same as in the report, and the default is Last 30 days. The numbers count runs that started in the chosen period. Here now shows who is at the step right now, regardless of the period. Tests don’t count.
While the numbers load, the strip shows a dash (—). Runs from earlier versions count on the equivalent published step; a step that no longer exists in the published version shows no numbers.
Results for a step
Section titled “Results for a step”Click a step to open the panel on the right. The Results in this period section shows that step’s numbers for the period chosen on the canvas:
- trigger: Started;
- steps in general: Reached, Here now, and Failed;
- Send email: Delivered, Opens, Clicks, and Unsubscribed, with the View this email’s report button, which opens the report filtered by that email and the same period;
- Send campaign: Ran and Failed.
Below it, What this step does summarizes the step’s configuration without letting you change it. To change the step, switch to Edit; see Automations.
